Moment 1: Claim My Identity
Check the latest email from oneid@wellstar.org (it may be in your spam folder) and follow the instructions to activate your Wellstar OneID. For any questions, contact the Wellstar Integration Support line at 470-610-0720. Follow the instructions at https://welcometowellstar.com/mfa to register for MFA.
As Wellstar systems will become available, WMCGH team members will use their OneID and a device registered for multi-factor authentication to:
- Access the Wellstar network
- Use @Wellstar email and other Microsoft 365 (M365) applications like Outlook, Office, Teams and OneDrive
- Clock in or approve time in UKG
- Check a pay slip in Workday
- Use Epic to check a medical record
- Access a Wellstar device
Moment 2: My @Wellstar Email
July 15, 2024
Use my @Wellstar.org email, view colleague availability and collaborate using Outlook, Office, Teams, OneDrive and SharePoint.
WMCGH Employeed Team Members
- Team members employed by WMCGH will move to a @wellstar email and Wellstar version of M365 applications.
AU Affiliated or Employed Team Members
- Team members employed by or affiliated with AU (e.g. faculty, active students) will retain access to their @augusta email and Augusta M365 for academic matters. They will have a @wellstar email and access to Wellstar M365 for clinical-related matters.

Moment 3: Enroll in 2024 Benefits
June 17 – July 15, 2024
Select my benefits during a special open enrollment for the Aug – Dec 2024 period. You will begin participating in Wellstar’s annual Open Enrollment period in the Fall if changes to your benefits are warranted.
This is relevant to benefits-eligible WMCG employees. This does not apply to team members employed by AU.
Moment 4: Get My New Badge
July – August 2024
Pick up my new badge in person to use as Wellstar systems go live for me.
- WMCGH employed team members can pick up their WHS badges starting July 22. If you clock in/out, you must have your badge by August 2nd. You will receive communications specific to your work location related to pick-up logistics.
Remember – you still may need to use your WMCG/AU badge temporarily. Your new WHS badge will gain incremental capabilities throughout the integration including:
- Starting in August, you will use your new badge to clock in/out at timeclocks, as required for hourly team members based on your department rules
- Starting in October, you will use your new badge to ‘Tap n Go’ at shared devices
- Sometime between approximately October to early 2025, you will be able to purchase goods through a payroll deduction (i.e., at onsite cafes) and access WMCGH buildings. More details about timing are coming soon.
Moment 5: Clock In / Approve Time
August 2024
Scan my new Wellstar badge and use UKG as my new timekeeping system moving forward
You can continue using your current time tracking method until August 4. UKG goes live on Sunday, August 4th at 12:01am! To prepare, complete these steps:
- Pick up your Wellstar badge
- Complete training in HealthStream, including the specialized courses for people who review, edit, or approve time, as appropriate. Those with specialized roles must complete training to gain access to the system at go-live.
- Attend optional refresher webinars for people who review, edit, or approve time, as appropriate
- Complete the Workday/UKG Go-Live Readiness Checklist
You have been assigned role-based training modules that cover all the essentials you need to know to have a smooth and positive experience. Make sure to complete your required training in HealthStream by July 26.

Moment 6: Order Supplies
August 2024
Order supplies for my team and much more in Workday
Managers and Requisitioners will need to pause or slow down activities for them to become effective before go-live. Find details in the Workday section of the Helpful Resources page.
If you are responsible for ordering supplies or services (a requisitioner), you have been assigned role-based training modules that cover all the essentials you need to know to have a smooth and positive experience. Make sure to complete your required training in HealthStream by July 26. Find out what else you need to do to prepare for go-live in the Workday section of the Helpful Resources page.

Moment 7: Check my Pay Slip
August 2024
Check my pay slip and manage pay information in Workday
Workday goes live on Monday, August 5th! To prepare, complete these steps:
- Complete training in HealthStream, including the specialized courses for people with direct reports (people managers)
- Complete the Workday/UKG Go-Live Readiness Checklist
You have been assigned role-based training modules that cover all the essentials you need to know to have a smooth and positive experience. Moment 8: Learn Epic
August – October 2024
Learn how to navigate the Epic system and practice the updated workflows by actively participating in required training
Wellstar’s experience with Epic will allow us at MCG to harness their learning to accelerate ours.
All WMCGH clinical and revenue cycle team members will complete role-based training tracks designed to equip you with the necessary knowledge to become successful Epic users. Make sure you are registered and attend in-person training between August 2 to September 27. You may be assigned online learning in HealthStream to complete before your in-person sessions.
Epic training completion is required to gain access to the new electronic health record. Talk to your manager if you have any questions or concerns.
